Privacy Statement
Last updated: 29 October 2026
1. Introduction
Your Dream Employee.ai ("we", "us") is committed to protecting your privacy and to handling your personal data transparently and lawfully. This Privacy Statement explains how we collect, use, share, and protect personal data when you use our website and services, including our free Google Local Services Ads ("Google LSA") setup and our 24/7 AI Receptionist (together, the "Services"). It applies in addition to any privacy notices that our client Businesses provide to their own customers.
2. Data Controller
Your Dream Employee.ai is the data controller for personal data we collect directly from you via this website and our onboarding forms. When we process call data on behalf of a client Business (such as recordings or transcripts of their customers' calls), we act as a data processor and the client Business is the controller for that data. Google LLC acts as a separate controller for the personal data it collects through the Google LSA platform.
3. Personal Data We Collect
- Contact & Business Data: your name, business name, email address, phone number, trade, service areas, and website.
- Verification Data: licence, insurance, and certification details you share with us to support Google LSA verification.
- Call & Booking Data: caller phone numbers, call recordings and transcripts, and booking details processed by the AI Receptionist on behalf of our clients.
- Technical Data: IP address, browser, device, and usage data collected via cookies and similar technologies.
4. How & Why We Use Your Data
We process personal data only for specified, explicit, and lawful purposes, including:
- to set up and deliver the Services — the performance of our agreement with you (UK GDPR Article 6(1)(b));
- to communicate with you about the Services — your consent and our legitimate interests (Article 6(1)(a) and (f));
- to process calls and bookings on behalf of client Businesses — as their processor under the client agreement;
- to comply with legal and regulatory obligations — legal obligation (Article 6(1)(c)); and
- to maintain the security and improve the quality of our Services — our legitimate interests (Article 6(1)(f)).
5. Sharing & Sub-Processors
We share personal data only where necessary: with Google to set up your Google LSA campaign; with AI and telephony providers that power the AI Receptionist; with hosting and infrastructure providers; and where required by law. All sub-processors are engaged under written terms that meet the requirements of the UK GDPR. We do not, and will not, sell your personal data.
6. International Transfers
Some of our providers may process personal data outside the United Kingdom. Where this occurs, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or on a UK adequacy decision for the relevant country.
7. Retention
We keep personal data only for as long as is necessary for the purposes described in this statement, to comply with legal or regulatory requirements, or to establish, exercise, or defend legal claims. Call recordings are retained in line with the retention period agreed with each client Business and applicable law, after which they are securely deleted.
8. Security
We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, and regular review of our systems. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your Rights (UK GDPR)
Under the UK GDPR and the Data Protection Act 2018, you have the right to:
- be informed about how we use your data;
- access a copy of your personal data;
- rectify inaccurate or incomplete data;
- erase your personal data in certain circumstances;
- restrict or object to the processing of your data;
- data portability; and
- not be subject to a decision based solely on automated processing that produces legal or similarly significant effects.
To exercise any of these rights, please contact us at cs@yourdreamemployee.ai. If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
10. Call Recordings & AI Processing
Where the AI Receptionist records or transcribes calls, those recordings and transcripts may be analysed by automated AI systems to qualify leads and book appointments. We use reasonable efforts to ensure callers are informed that calls may be recorded, and we encourage our clients to disclose call recording to their customers as required by law. You should inform your customers of call recording in accordance with your own legal obligations.
11. Cookies
Our website uses essential cookies to operate correctly and, where enabled, analytics cookies to help us understand how the site is used. You can control or delete cookies through your browser settings at any time. Where non-essential cookies are used, we will seek your consent before they are set.
12. Children's Privacy
Our Services are intended for businesses and individuals aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you believe we have collected data from a child, please contact us so we can delete it.
13. Changes to This Statement
We may update this Privacy Statement from time to time to reflect changes in our practices or legal requirements. Material changes will be posted on this page with an updated "Last updated" date.
14. Contact
